Case Notes and Team Huddles: How RBTs Stay Connected to Clinical Support at The Sunshine Academy
Great ABA sessions do not happen in a vacuum. At The Sunshine Academy in Broken Arrow, Registered Behavior Technicians (RBTs) are connected to clinical support through case notes, team huddles, and everyday check-ins with BCBAs — so you are never left guessing alone with a learner.
Why connection matters for RBTs
RBTs spend the most direct time with kids. That is rewarding — and it can feel heavy if feedback only arrives weeks later. We built our day so communication is part of the job, not an extra you squeeze in after hours. When session data, questions, and wins move quickly to the supervising clinician, treatment stays consistent and RBTs feel backed up.
Case notes that actually get read
Session notes are more than a compliance checkbox. Clear notes help your BCBA see what worked, what stalled, and what to adjust tomorrow. At The Sunshine Academy, RBTs document targets, prompts, and learner engagement in a way that feeds the clinical plan — and clinicians respond. You are not typing into a void.
Notes capture what happened in the session, not just a score.
Clinicians use that detail to refine programs and coaching.
You get clarity on priorities instead of reinventing the plan alone.
Team huddles keep everyone aligned
Short huddles — morning touchpoints, end-of-day wrap-ups, or quick mid-week syncs — give RBTs a live place to ask, "How should I handle this?" and hear the same answer the whole team will use. Huddles are upbeat and practical: celebrate a breakthrough, flag a tough transition, and leave with one or two concrete next steps.
That rhythm matters for new RBTs learning the culture and for experienced techs who want to grow toward BCaBA or BCBA pathways. Support is visible, scheduled, and expected.
Not working in isolation
Isolation is one of the fastest ways people burn out in ABA. Here, RBTs know who to text or pull aside when a program is unclear. BCBAs are present for observation, modeling, and feedback — not only for paperwork. Sister-clinic collaboration with pediatric speech and OT at Tulsa Sunshine Center across the street also means you see how communication and motor goals can reinforce what you teach in session.
What this feels like day to day
You start with a plan, not a mystery caseload.
You leave notes that shape tomorrow's session.
You get coaching when something is hard — without waiting for a quarterly review.
You work alongside a team that notices good clinical judgment.
Hours are Monday through Friday, 8am–6pm, across our Broken Arrow locations at 2208 W Detroit St and 304 N Beech Circle. The pace is real clinic life — energetic, kid-centered, and structured enough that support is built in.
